Summary

The Lead MSA provides comprehensive, detailed, on-the-job training to all new clinic personnel in the clinic unit area. The mission of this section is to provide administrative and clerical assistance, guidance, and support to the professional staff and to manage the day-to-day activity.

Duties

  • Duties include but are not limited to: Assuring that the work of their assigned teams is carried out by performing a range of coordinating and supportive duties and responsibilities. organize work, delegate tasks, and set priorities to meet deadlines. articulates and communicates to the team the assignments, projects, or problems to be solved, or other events or issues that need attention or review, and deadlines or timeframes for completion. responsible to make personnel assignments and to ensure that adequate coverage of assigned clinics is always maintained. responsible to train new and assigned HAS employees in outpatient administration procedures and duties. responsible for assisting with the development of materials and maintaining a current and comprehensive training program assigned to keep assigned employees informed of all changes in HAS policies and procedures. Maintains a training schedule, maintains training records and provides feedback to the Supervisor about training progress of employees. Assists in orientating and tracking the progress of new employees or rejects work not meeting established standards, refers to the Supervisor of Outpatient Administration questions or matters not covered by standards and problems in meeting performance standards. Serves as a team leader for Medical and Program Support Assistants setting the pace for high productivity and quality work Work Schedule: 7:00a-5:00p (various tours based on 8 hour days/40 hour work weeks) Telework: Not available. Qualifications

Basic Requirements: United States Citizenship: Be a citizen of the United States (U.S.). Non-citizens may be appointed when it is not possible to recruit qualified citizens according to 38 U.S.C. § 7407(a) Experience. None Education. High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education. Licensure/Certification/Registration. None English Language Proficiency: Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. § 7403(f). May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Requirements: In addition to the basic requirements, you must meet the following grade requirements. Lead Medical Support Assistant, GS-07: Specialized Experience. One year of experience equivalent to the GS-6 grade level. Experience at the GS-6 includes but is not limited to: Processes incoming patient secure messaging and coordinates with care team as appropriate; participates in team huddles and team meetings to manage, plan, problem solve, and follow-up with patient care by sharing information and collaborating with the interdisciplinary team; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; identifies incomplete encounters and communicates findings to providers; as needed; assists the team to reinforce the plan of care and self-help solutions; enters appropriate information into the electronic record; monitors pre-appointment information and/or requirements to assure readiness for patient visit/procedure; manages patient systems to verify and validate accuracy and resolve issues; evaluates patient information and clinic schedule lists to determine whether the patient requires an immediate appointment; informs team members about shared patients Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Ability to provide staff development and training. Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work. The full performance level of this vacancy is GS-07. Physical Requirements: The physical demands of this position typically are somewhat sedentary. The position requires the employee to be occasionally mobile; periods of daily walking are occasional and require the employee to walk long/intermediate/short distances that can include pushing and/or pulling a 4-wheeled basket or industrial-type cart with a collective weight up to 60-100 pounds. It's a position that requires occasional moderate lifting of 35 pounds or less. When the employee isn't mobile, they will be sitting at a workstation. The position requires the employee to sometimes bend at the waist or stoop down, or to stretch, and to sometimes stand for long/moderate/short periods of time. Concentration and sustained high performance under prolonged high stress is regularly required because of time-factor constraints needed to complete work assignments and to meet national and local customer service mandates; excellent hand/finger dexterity and superior mental acuity are crucial to achieving a result of providing expedient customer service. Employee may be required to work rotating shifts (including weekends) with rotating days off; tours of duty may start before or stretch beyond the normal VAMC business hours of 8:00 A.M. to 4:30 P.M.
