Summary
This position serves as the Program Support Assistant for the Hem-Onc Section of Nursing Service. This position is located in VA Northern California Health Care System performing a variety of clerical, administrative and technical duties/responsibilities in support of management with the intent of accomplishing the administrative responsibilities.
Duties
- This position is located in the VA Northern California Health Care System and performs a variety of clerical, administrative, and technical duties/responsibilities in support of management to accomplish administrative responsibilities. Major Duties and Responsibilities include but are not limited to: Submit LEAF requests to manage clinic schedule changes, cancellations, and new clinics, ensuring all updates are accurately reflected. Coordinate and maintain schedules for faculty, fellows, residents, and technicians to ensure clinic coverage and prevent double booking. Reserve conference rooms for group clinics and other clinical activities. Enter and upload non-VA medical records into CPRS and perform various nonstandard computer operating tasks. Submit and track work orders for equipment, repairs, and clinical needs while assisting staff in obtaining required support. Manage administrative tasks such as routing phone calls, organizing staff meetings, preparing agendas, taking minutes, and following up on action items. Serve as timekeeper for multiple Hem/Onc services, inputting codes, verifying overtime and contracted hours, and acting as liaison to payroll. Maintain correspondence control, generate documents, track supplies and equipment, and act as primary liaison between program offices and external administrative offices. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position, you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-06, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in program administration and management; assistance with day-to-day operational duties; communicating effectively both verbally and in writing with a variety of individuals; problem-solving and applying decision-making skills. Sustaining processes and procedures to ensure program effectiveness; interpreting, analyzing, and responding to requests for information from internal and external entities; collecting, compiling, managing, and reporting program data; preparing correspondence and reports; utilizing automated software (such as Microsoft Word, Excel, etc.); developing a yearly program budget; developing a tracking mechanism to monitor funds and monitor all program expenditures. Physical Requirements: Involves active listening, reading, observing and evaluating verbal and nonverbal behavior, walking, speaking, bending, carrying of light items such as paper, books, small parts, writing reports, writing clinical notes, using office equipment such as computers, telephones, fax machines, photocopy machines, and possibly driving an automobile. Some work is performed in a clinical setting that exposes the incumbent to the communicable diseases common of the homeless population. Strenuous physical activity is not required.
