Summary
FV-0344-E Incumbent will perform basic and routine tasks under the general direction of the Office Manager, Frontline Manager, or Administrative Officer personnel in day-to-day operations of the office.
Duties
- Receives visitors and callers. Ascertains the nature of the visit/call and directs the individual to the appropriate office/team. Prepares various reports and composes and types routine correspondence such as letters and memorandums. Reviews outgoing correspondence for grammatical and procedural accuracy. May serve as the time and attendance focal point for the office. Verifies time and attendance information and reports discrepancies to manager. Ensures travel authorizations and other travel documents are prepared accurately and comply with regulatory guidelines. Reviews office procurement requirements for supplies, equipment, and services. Coordinates and prepares appropriate procurement request utilizing various system applications. Assists in a variety of administrative programs such as the government motor vehicle program, property accountability, office training program, and personnel program at the direction of management. Examines current office practices and policies and recommends improvements, Keeps staff current on procedural changes. Utilizes a variety of software programs to accomplish assignments. Provides files and records management oversight. Demonstrates some independence in planning time, but frequently coordinates with management or Administrative Officer to prioritize assignments and use assigned resources. Contacts are typically internal to share information, coordinate efforts, and discuss the statuses of assignments. Limited external contacts are typically with other Flight Standards field office personnel and customers on routine matters that relate to the project/program that is being supported. Performs other duties as assigned.
Qualifications
FV-0344-E To qualify for this position you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FV-D, FG/GS-3/6. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in, or related to, the position to be filled. Specialized experience at the next lower level, FV-D: Experience using various office automation software systems to create letters/memos, reports, spreadsheets; AND Experience in performing a wide variety of administrative functions to include records keeping, travel administration, time and attendance management, organizing and managing files and records, scheduling meetings, and other administrative functions in support of an office. Qualification requirements must be met by closing date of this vacancy announcement.
