Summary
This position is part of the Southwestern Indian Polytechnic Institute, Bureau of Indian Education (BIE), Department of the Interior (DOI). As a Administrative Support Assistant you will be responsible for providing administrative support for the department of College Operations.
Duties
- As a Administrative Support Assistant, GS-0303-7, your typical work assignments will include the following under supervision: Serve as the primary administrative point of contact for the Office of the Vice President of College Operations; manage and coordinate the Vice President's calendar, meetings, operational schedules, appointments, and administrative deadlines. Perform and coordinate administrative functions including timekeeping, travel, procurement and purchase-requisition support, property and supply management, records management, meeting coordination, and preparation of administrative documentation. Use office automation and information systems to track administrative actions, deadlines, procurement requests, correspondence, reports, records, and other College Operations activities. Prepare, review, organize, and maintain official correspondence, meeting materials, records, files, reports, and other administrative documents; ensure accuracy, completeness, proper routing, and timely follow-up. Coordinate administrative actions and communications between the Office of the Vice President and College Operations departments, SIPI offices, BIE offices, vendors, and other stakeholders; track requests and follow up on outstanding actions. Receive and screen inquiries, visitors, telephone calls, and correspondence; determine appropriate routing, provide routine information, and elevate matters requiring management attention.
Qualifications

SPECIALIZED EXPERIENCE: Experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level in the normal line of progression for the occupation in the organization. GS-07: 1 year of specialized experience equivalent to at least the GS-06 grade level in the federal service. Examples include coordinating office schedules and administrative actions; processing or supporting timekeeping, travel, purchasing/procurement, property, supply, or related administrative functions; maintaining official records and files; preparing and reviewing correspondence and reports; tracking deadlines and action items; responding to internal and external inquiries; and using office automation systems, spreadsheets, databases, electronic mail, and other electronic systems to support office operations. Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year (52 weeks) of service at the next lower grade level. Learn more about what is time-in grade.
